Your booking calendar drives the release order. Conference services identifies free rooms, rooms still set for events, and permissible furniture staging. We can discuss evening or weekend windows under building rules. A room cannot serve as a loading path while attendees use its entrance, so reservations may change the route.

We ask for a diagram with partition positions, table layouts, and destinations. Facilities confirms loading access, elevator dimensions, cart routes, and limits on work through the prefunction space. If the building requires a Certificate of Insurance or dock reservation, we gather its requirements during planning. The partition installer and AV vendor need access windows; their sequence determines when we can clear a room and place furniture. Your team approves room releases and calendar changes.

Protection and handling

We label furniture by room and configuration, keeping table sections, bases, and hardware together. Table edges are padded, chair stacks are secured on carts, and lecterns are wrapped so projecting shelves do not carry another piece's weight. We protect floors and doorways along the approved route.

At delivery, we stage each set near its room and place movable tables and chairs against your layout. A divisible hall may use a different furniture map when opened into one space; conference services chooses the active map before placement. Partition panels, tracks, mounted displays, and installed cabling stay with their installers. Your AV contact identifies portable pieces we may carry and checks their operation after placement. Your staff checks the set against the next booking and handles event materials, signs, and attendee belongings.

We can carry loose carts and cases that your AV contact has identified and released for the move. The vendor handles mounted components, cabling, setup, and testing. Before loading, your team labels each portable piece to its destination room and confirms whether anything inside a case needs special packing. That keeps the physical move aligned with the vendor's installation list.

What happens if a booking changes after the room move is planned?

Your booking team tells us which rooms remain in use and which can be released. We revise the room order and loading route against the updated calendar, then check how the change affects the partition installer and AV vendor. A changed event can also change the destination layout, so your conference services lead provides a revised room map before we place tables and chairs.
