Planning a Hotel Move

Hotel moving is often a room turnover inside an operating property, rather than an empty-building relocation. Your general manager releases floors; the FF&E plan shows what leaves and arrives. We turn that plan into a room-by-room moving list before carts enter a corridor.

Each guest-room set has a destination: keep, relocate within the property, or remove under your direction. We can move loose beds, nightstands, desks, seating, mirrors, and packed room contents as labeled groups. A headboard fixed to the wall, a hardwired light, or connected equipment needs your engineer or installer to assess and release it first.

Back-of-house has a different path. Housekeeping carts, linen shelving, and office workstations may use a service elevator and receiving door while the room sets move through a controlled floor corridor. We plan those routes with your staff so the front desk knows which areas are in use and your team can check each released room.

Who usually signs off
Hotel general manager or property owner, with rooms and engineering leads approving the floor sequence
Timing that works
Tie each floor release to the hotel's room block, housekeeping turnover, and the FF&E vendor's delivery and installation calendar; ask about evening or weekend windows.

What typically moves

  • Guest-room bed frames and mattresses Frames, bases, and mattresses stay identified to their room or replacement zone; your rooms team decides which pieces remain in service.
  • Nightstands, desks, and luggage benches Loose pieces travel as a room set, with drawers emptied and hardware kept with its original piece.
  • Guest-room seating and freestanding mirrors Chairs and mirrors receive separate protection, then return to the room number or floor zone on the approved list.
  • Housekeeping carts and linen-room shelving Carts are emptied by your team; freestanding shelves and labeled linen cartons use the back-of-house route.
  • Front-desk stations and lobby seating Movable counter modules and seating are staged to the plan your front-office lead provides.
  • Banquet chairs and meeting-room tables Stacks and folding pieces stay grouped by meeting room so event staff can reset the intended spaces.

Access and scheduling

The floor sequence starts with your room block, not the truck. Give us the rooms lead's release list and the FF&E vendor's delivery dates. Evening or weekend work is available on request under property rules. Your team clears guest belongings before releasing a floor.

At the property, we walk both routes: the guest-room corridor and the receiving path for back-of-house items. The plan records service elevator dimensions, cart restrictions, dock or loading-space reservations, and where a set can stand without blocking occupied rooms or exits. A downtown San Antonio hotel may have a narrow service entrance and shared loading time; a Hill Country property may have detached buildings and longer outdoor carries. Your management team sets quiet hours and signs off on any area closure. If the building requests a Certificate of Insurance, we gather its requirements before the move window is set.

Protection and handling

Room numbers stay on the work list and on movable pieces. We pad hard edges, wrap upholstered seating, protect mirrors separately, and keep loose feet, pulls, and fasteners with their parent piece. Mattresses are covered for the carry and placed where your rooms lead directs.

At unload, a floor staging point keeps incoming FF&E apart from pieces marked to leave. Your staff approves rooms for placement. We position loose pieces against the room plan, then your housekeeping and engineering teams handle final room readiness. In service areas, we label shelves and cartons by linen room, housekeeping station, or meeting room rather than mixing them into guest-room loads. Your installer handles wall-mounted or connected fixtures, and your team retains control of any guest property discovered during turnover.

Who does what

Some of this job belongs to other trades. The written plan names each one.

Wall-mounted headboards, hardwired lights, and connected room equipment
Your property engineer, licensed trade, or FF&E installer disconnects, removes, reinstalls, and tests those pieces as applicable. We move loose room pieces on the approved list.
Incoming FF&E specifications and room acceptance
Your purchasing or FF&E vendor confirms models, shortages, and installation instructions. Your rooms lead accepts each room; we place the movable pieces assigned to it.
Guest belongings and room release
Your hotel staff clears, secures, and documents guest property and confirms when a room is available for the crew.

Not part of our work

  • Taking custody of guest belongings or deciding whether a room can be released; those decisions stay with hotel staff.
  • Removing or reconnecting wall-mounted, hardwired, or plumbed fixtures before the property's trade or installer releases them.
  • Approving replacement FF&E or signing off on a room's return to inventory; your purchasing and rooms teams own those decisions.

Around San Antonio and the Hill Country

Hotels near downtown San Antonio and the River Walk may rely on shared service lanes and timed elevator access. Properties off Loop 1604 and toward Boerne, Kerrville, and Fredericksburg can have wider loading areas but longer paths between guest wings and receiving. We use the actual building layout and occupancy plan to choose a route for each floor.

Hotel Moving FAQs

Another question? Call (830) 329-7272.

Can you turn over one hotel floor while guests occupy the others?

Yes, when your management team can release that floor and define the route the crew may use. We work from your room list, label movable pieces by room, and keep carts and staging inside approved areas. Your team sets quiet hours, protects guest access, and confirms when a room is empty. The next floor starts after you review the prior floor's placement.

How do you keep replacement guest-room sets from getting mixed between floors?

Give each set a room or floor destination before loading begins. We label loose pieces and their hardware to match the room plan, and separate outgoing pieces from incoming ones at the staging point. If your FF&E vendor changes a room assignment, your rooms lead updates the list before the set moves. Your team then checks the placement during room acceptance.

Who removes attached headboards and wired bedside lights?

Your property engineer, licensed trade, or FF&E installer determines how attached pieces come off and how they are fitted and tested again. We can plan the movable room set around that work. Tell us which pieces are fixed during the walk-through so they stay off the crew's lift list until the appropriate person releases them.

Can housekeeping and meeting-room contents move through a separate service route?

We can map a back-of-house route with your operations team, using the receiving door and service elevator that the property permits. Empty housekeeping carts, freestanding linen shelves, and meeting-room tables can be labeled to their new stations. Your staff sorts linens and supplies, sets event priorities, and confirms which corridors must stay open for guests and daily service.
