How We Plan Commercial Packing & Unpacking

Packing a workplace starts with a decision about where things will be used next. Your office manager assigns each department a destination on the new floor plan. We label shared cabinets and shelves before packing. A label says where a carton lands, not just where it came from.

Your staff pack personal desk items and decide which active papers or sensitive material stay in their own hands. We can pack the shared contents you assign to us, keeping a department's materials together and marking cartons with a destination room and a short contents description. At the receiving space, we follow the floor plan to put those cartons near the right cabinets and unpack the agreed contents onto shelves or work surfaces. Your department contact decides the final working order inside a drawer or cabinet. That division helps each team find its materials. Materials and residential packing are covered on our packing services page.

Timing that works
Set packing periods around each department's last use of shared materials, then schedule unpacking after its receiving room is ready; evening or weekend windows can be discussed on request.

What typically moves

  • Reception stationery and visitor materials Grouped by counter or cabinet destination so the front desk receives its working supplies together.
  • Accounting reference binders and blank forms Your finance lead decides which material travels; we mark approved groups by receiving cabinet or shelf.
  • Human resources reference binders and onboarding packets Shared, nonpersonal materials can be packed by destination; your staff retain control of personnel records.
  • Sales sample kits and presentation materials Kits stay grouped by team and land at the assigned display shelf or workroom.
  • Conference room presentation accessories Remotes, cables, and adapters are bagged by room so they return beside the equipment they serve.
  • Breakroom serviceware and cabinet contents Fragile pieces are separated and labeled for the new kitchen cabinets, rather than mixed with office supplies.

Access and scheduling

The floor plan is the packing instruction. Before work starts, your contact marks the receiving rooms, identifies departments that will split or combine, and names someone who can settle an unclear destination. We then agree on a label format that works at both addresses: department, destination room, and a short contents note. Mark shelf positions where a room has several cabinet runs.

Schedule the pack in the order each team can release shared materials. Reception may need its stationery longer than a training room needs its supplies. Confirm which receiving rooms are ready and which corridors must stay clear. If a landlord requires a dock booking, freight elevator slot, or Certificate of Insurance, send those rules before the packing and delivery windows are set. Evening or weekend periods are possible on request when both buildings allow access.

Protection and handling

We start at a named cabinet or shelf, pack its approved contents, and write the destination on the carton before it leaves that area. We pad fragile pieces and bag small conference room accessories by destination. We keep cartons for separate departments apart during loading so their labels remain useful at delivery.

At the receiving floor, a copy of your plan guides placement. We put cartons in the assigned rooms and unpack the contents included in the agreed scope onto available shelves and work surfaces. Your department contact directs finer arrangement when cabinetry changes. Staff pack and carry their own personal belongings and decide how confidential papers are prepared. For desk computers, monitors, and printers, our crew can handle physical disconnect and reconnect; your IT contact owns connectivity, accounts, and testing. We gather empty cartons as unpacking proceeds.

Who does what

Some of this job belongs to other trades. The written plan names each one.

Personal desk belongings and confidential department papers
Your staff pack personal items and decide which sensitive papers travel under their control. We pack the shared materials they release for the move.
Destination floor plan and final shelf assignments
Your office or facilities contact approves room names and resolves changes. We use that plan to label, place, and unpack the agreed contents.
Desk equipment setup
Our crew can physically disconnect and reconnect computers, monitors, and printers. Your IT contact restores connectivity and tests the stations.

Not part of our work

  • Sorting, deciding retention for, or reading confidential business papers; your department owner decides what is released for packing.
  • Packing employees' personal desk items; each employee prepares and controls those belongings.
  • Choosing a new department layout or deciding where shared supplies belong without an approved destination plan.

Around San Antonio and the Hill Country

In San Antonio, an office near the South Texas Medical Center may receive cartons through a reserved freight elevator, while a suite along Loop 1604 may have a shared service entrance. Those routes affect department delivery and unpacking. For Boerne, Kerrville, and other Hill Country destinations, we still need the receiving floor plan before the first department is packed.

Commercial Packing & Unpacking FAQs

Another question? Call (830) 329-7272.

How should we label departments when the new rooms have different names?

Start with the receiving floor plan and assign each new room a name or number that your staff will recognize. We use that destination on every carton, with a department and brief contents note for context. If a team splits across rooms, your contact assigns each group before packing.

What should employees pack at their own desks?

Ask employees to pack personal belongings and identify active work they need to keep with them. They should also decide how any sensitive papers are prepared under your company's rules. Our packing scope can cover shared stationery, department reference materials, meeting room accessories, and other contents your department leads release. This keeps personal items out of department cartons.

Can you unpack directly into the new department cabinets?

Yes, when the receiving cabinets are ready and your floor plan identifies the room and intended shelf or work area. We can place and unpack the agreed shared contents there. If the new cabinets have a different layout, your department contact directs the final arrangement so frequently used material lands where the team wants it. We gather empty cartons as we work.

What if a department still needs its shared supplies during packing?

Tell us which cabinets must stay in use and when the team can release them. We can pack available departments or shelves first, then return to the active area in an agreed window. Later cartons retain the same destination labels. Your contact should flag any supplies needed immediately at the new space for early placement.

Plan your business move

Tell us both addresses, the building rules you know about, and the dates you cannot move. We will send back a written plan and estimate.
