Planning a College & University Move

A department move on a college campus crosses more than one office door. The department decides what goes, facilities controls the buildings and loading routes, and purchasing may need the scope before a date can be reserved. You may be shifting an advising office to another floor, clearing administrative rooms for a renovation, or moving a program into a different campus building. Each has its own destination plan, even when the truck never leaves campus.

We start with your room list and the academic calendar. A summer break or gap between semesters may open offices, but orientation, registration, maintenance work, and faculty return dates still occupy those same halls. Your facilities contact identifies which entrances and elevators we can use and when; the department identifies which desks and records belong in each new room. We label pieces to that plan before loading and place them by building and room on arrival. For a larger education and civic move, this campus handoff is the part that keeps several offices from becoming one unsorted delivery.

Who usually signs off

Timing that works
Summer and semester breaks offer room access, but orientation, registration, exams, and building work can narrow the actual move window.

What typically moves

  • Advising desks and visitor counters Tag each piece by its destination office; remove loose forms and personal items before the counter or desk is wrapped.
  • Faculty office bookcases and chair sets Mark the destination by building and room, including offices whose occupant changes during the move.
  • Department file cabinets and records cartons Your department decides which records move; closed cartons carry room labels without exposing their contents.
  • Seminar room tables and lecterns Freestanding pieces are grouped by room so the receiving department can set its teaching layout.
  • Program supply shelves and labeled materials Box shelf contents by program and destination room before freestanding shelving is moved.
  • Reception chairs and brochure displays Keep public facing pieces together so the new department entrance can be set up in its planned order.

Access and scheduling

A campus calendar is a starting point, not an access permit. Your facilities contact confirms which building can receive goods, whether loading uses a service entrance, where a truck may stand, and who can open rooms outside normal hours. Routes may cross active pedestrian areas or share elevators with other campus work. We plan the carry from the approved loading point and stage in the assigned space.

Your department supplies the old and new room list, a floor plan, and a contact to resolve label questions during unloading. If departments exchange rooms, that person decides which space empties first. Purchasing confirms its quote and purchase order process before dates are held. Ask facilities whether a Certificate of Insurance is needed and whether an evening or weekend window is available during the break. We align the move with campus access rather than assuming an empty academic calendar means an empty building.

Protection and handling

We walk the approved route with facilities before the first desk moves. The crew protects doorways and floor turns, then pads freestanding counters, tables, cabinets, and bookcases. Drawers are emptied or secured as required. Small hardware from removable shelves is bagged with that shelf, and room labels stay visible after wrapping so the unloading crew knows which department owns each piece.

At the destination, we place pieces against your room plan and leave access to doors, teaching equipment, and areas facilities still needs. Desk level computers, monitors, and printers can be physically disconnected, padded, and reconnected at their assigned stations. Your campus technology staff directs cabling, account access, and equipment testing. Fixed fixtures or built in systems need facilities or the appropriate trade to release and prepare them before our crew handles nearby furnishings. Department staff control records and decide what may be packed, carried, or left in place.

Who does what

Some of this job belongs to other trades. The written plan names each one.

Building access, loading locations, and room release
Campus facilities sets the permitted route and access window. We follow that plan and place items in the rooms facilities has released.
Campus technology and room systems
Your technology or audiovisual staff handles cabling, system setup, and testing. We handle approved desk level equipment as physical items.
Fixed casework and connected fixtures
Facilities or its licensed trade determines what can be removed and releases it before any associated freestanding pieces are moved.

Not part of our work

  • Choosing which department records or personal materials are retained; campus staff make those decisions and close their own sensitive cartons.
  • Changing building access rules or removing fixed installations without facilities approval.

Around San Antonio and the Hill Country

San Antonio campuses such as UTSA can have offices spread across separate buildings, so the route between an approved loading area and a department matters as much as the drive to campus. Schreiner University in Kerrville offers a Hill Country example of a campus where the academic calendar and facilities office still set the move window. We ask for the actual building and room plan rather than treating either campus as a single address.

College & University Moving FAQs

Another question? Call (830) 329-7272.

Can a campus department move during the summer while other buildings stay active?

Yes, if facilities can release the rooms and approve a loading route for your dates. A summer term, orientation, or maintenance work may still use the adjacent halls. Give us the active areas and the approved entrance, and we can plan the carry and staging around those constraints. Your department confirms which rooms must be usable first.

Who provides the room assignments for a university office relocation?

Your department and facilities team should agree on the destination list before labels go on desks and cartons. We use the building and room names they provide and place each piece to that list. If an assignment changes, one campus contact can approve the revised destination so the crew does not redirect items based on a hallway conversation.

What should facilities arrange before movers enter several campus buildings?

Facilities should identify the approved loading points, elevator or service door rules, room access, staging areas, and any campus events affecting the route. It can also tell us whether a Certificate of Insurance or escort is required. We use those instructions to set the order of buildings and confirm where each load can be unloaded.

How are faculty offices handled when occupants change between semesters?

Have each office's contents identified by the receiving room, not just by the current occupant's name. Faculty or department staff should separate personal items and decide which books, records, and supplies remain with the program. We can move the labeled office pieces and cartons, then place them in the assigned room so staff can sort their own materials.
