Planning a Medical Office Move

When several providers share a medical office, the move is a set of room assignments, not a single floor plan. One physician may be changing suites, another may keep a room at the old address until appointments shift, and shared reception and supply areas must serve both. We turn that decision into labels on movable furnishings and cartons, so an exam-room cabinet does not land in the wrong suite simply because the rooms look alike.

Each exam room gets a provider and suite destination, while shared items get their own destination. Our crew can move freestanding cabinets, stools, waiting-area pieces, and boxed supplies in that sequence. Your staff decides which charts travel, seals them according to the practice's directions, and tells us where the sealed containers belong. We handle those containers as directed without opening them. Clinical equipment vendors decide how their serviced devices are prepared and installed. This room-led approach fits within our healthcare moving work.

Who usually signs off
Practice administrator or operations director, with each provider approving room assignments
Timing that works
Plan around appointment blocks for each provider; an evening or weekend move may give staff time to check their assigned rooms before the next clinic session.

What typically moves

  • Provider exam-room cabinets Freestanding units receive a provider, room, and destination-suite label after staff clear their contents. Built-in cabinetry stays with the suite.
  • Exam stools and mobile instrument stands Movable pieces travel with the room assignment your administrator approves; serviced devices are identified separately before loading.
  • Check-in and check-out stations Desk sections, monitors, and printers are marked for the correct reception point when the new office has more than one suite entrance.
  • Shared supply cabinets and routine consumables Cartons carry the destination suite and cabinet location, keeping shared stock distinct from supplies assigned to a provider.
  • Consultation-room tables and seating Chairs and tables move to the room list, with pads protecting surfaces through hallways and doorways.
  • Sealed chart containers Your staff chooses and seals the containers, gives us the destination, and checks them at the new suite.

Access and scheduling

Start with the appointment calendar for every provider, including anyone still seeing patients in a suite during the move. We can plan an evening or weekend window on request, then load by destination suite so staff can check their own rooms as the move progresses.

Medical office buildings may require a freight elevator reservation, a loading slot, and a Certificate of Insurance for management. Ask the landlord about those rules at both addresses and identify any patient corridor the crew must avoid while the building is open. We check door widths and carton staging space. Your staff and equipment vendors need their own access windows; we plan the furniture route around those visits rather than blocking a technician's work area.

Protection and handling

Room labels drive the load. We match each movable cabinet and carton to the administrator's destination list before it leaves its room, then protect cabinet faces, corners, and doorways for the carry. In the new office, larger pieces go into the assigned exam rooms first, leaving enough space for staff to place supplies and verify that each provider has the intended setup.

Your team seals chart containers before pickup. We can carry the sealed containers to the suite and placement point the practice names; your staff checks them there. We do not open, sort, or decide where an individual chart belongs. Desk-level computers, monitors, and printers can be disconnected, padded, and reconnected at their marked stations. Your IT contact checks access and software, while clinical vendors handle the preparation, installation, and testing of their serviced equipment.

Who does what

Some of this job belongs to other trades. The written plan names each one.

Serviced clinical devices and diagnostic units
The equipment vendor sets the preparation, transport, installation, and testing instructions. We coordinate room access and move the listed furnishings around that work.
Patient charts and practice records
Your practice selects and seals containers, assigns their destinations, and checks them on arrival. We carry closed containers only under those directions.
Workstation access and software
Your IT contact confirms accounts and connections after we reconnect desk-level computers, monitors, and printers at the marked stations.

Not part of our work

  • Opening chart containers, sorting patient files, or choosing which provider receives a record; those decisions remain with the practice.
  • Preparing or testing serviced clinical devices; arrange those steps with the responsible equipment vendor.

Medical Office Moving FAQs

Another question? Call (830) 329-7272.

How do you keep similar exam rooms assigned to the right provider?

Give us a room list showing each provider, the old room, and the destination suite and room. We put those destinations on movable pieces and cartons before loading, then place them against the same list on arrival. Your administrator reviews any room changes before we relabel an item, and provider staff check their rooms as they are set up.

Can one provider continue seeing patients while another suite moves?

That depends on the shared corridors, reception space, and the building's access rules. Tell us which rooms and paths must remain in use. We can plan the load around the rooms your administrator releases and use an evening or weekend window on request. Your practice decides when patient activity and moving activity can safely share the building.

Who packs and checks the charts for each provider?

Your practice decides which charts travel, packs and seals the containers, and assigns each one a destination suite. We move the closed containers as directed and place them where your staff tells us. Your staff checks the containers on arrival and handles any filing or reassignment. Tell us before the move which containers should stay with your team instead.

What if shared supplies need to serve several destination suites?

Have the practice assign each cabinet and supply carton to a primary destination before packing. If stock must be divided, your staff can make that split and mark the cartons by suite and cabinet. We move the labeled groups to their assigned places, leaving your team to stock the shelves and adjust quantities for each provider's workflow.

Plan your business move

Tell us both addresses, the building rules you know about, and the dates you cannot move. We will send back a written plan and estimate.
