Planning a Real Estate Brokerage Move

A brokerage can change addresses while its agents are still showing homes and preparing listings. The office move needs two maps: where each agent will work and where the sign stock will land. You provide the seating plan and decide which listing materials are still active. We use those decisions to label desks, drawer units, and bins of frames, stakes, and riders.

Sign inventory is easy to scatter because some pieces sit in a supply room, others lean in a garage or rear closet, and a few are waiting to go back into the field. We can pack and carry the office stock you designate, keeping reusable parts grouped by type in the new supply area. Your agents pull pieces needed for appointments before packing begins. Lockboxes, keys, and the cabinet that holds them stay with your managing broker throughout the change of address. Point the cabinet out on the walkthrough and it stays off our list.

What typically moves

  • Agent desks and return units We tag each desk and matching return with its destination position from the broker's seating plan.
  • Transaction-coordinator worktables Shared tables and their drawer units go to the work area your operations manager marks on the new plan.
  • Freestanding sign-stock shelving Empty shelves are marked by bay so sign frames and related bins can return to an assigned section.
  • Yard-sign frames and stakes Frames are bundled by size; loose stakes are boxed so sharp ends do not rub against finished desks.
  • Open-house stands and directional arrows Collapsible stands and reusable arrows are grouped separately from listing-specific pieces your agents need in the field.
  • Sign riders and blank panels Small riders are boxed by type; flat panels receive edge protection and a destination shelf label.
  • Listing-presentation sample kits Your staff decides which samples remain current, then we pack the approved kits for the assigned agent or meeting room.

Access and scheduling

Start with the agent calendar, not just the lease date. Your operations manager identifies appointments, open houses, and sign pickups that continue while the office is cleared. Agents take the active field pieces they need before the supply shelves are packed. We can work from less-used sign stock toward the desks, with the broker approving which stations are ready to empty.

At both addresses, tell us whether sign stock is in a rear room, detached garage, or an area with a separate door. We check the carry route for long frames and parking space needed to load them without blocking agent arrivals. A San Antonio office building may require a reserved freight elevator, loading window, and Certificate of Insurance. An evening or weekend move can be discussed once those building rules and the appointment schedule are known.

Protection and handling

Sign parts travel differently from desks. We bundle metal frames so their ends stay together, box stakes separately, and protect flat-panel edges. Small riders and hardware go into cartons identified by stock type, separate from agent desk contents. At the new office, bundles go to the shelf section your operations manager chose, so agents can find reusable pieces.

Desks and drawer units are marked to the seating plan, padded, and placed at their assigned positions. At each agent station, we can unplug, pad, carry, and plug back in its computer, monitor, or printer. Your IT contact checks accounts, shared printing, and connectivity afterward. The managing broker keeps lockboxes, property keys, and the key cabinet in their care and transports them separately. Before loading, the broker identifies these access items so they stay off the crew's inventory.

Who does what

Some of this job belongs to other trades. The written plan names each one.

Lockboxes, property keys, and key cabinet
Your managing broker identifies, controls, and transports these access items. Our crew leaves them with the broker and handles the desks and approved sign stock.
Exterior office sign and window lettering
Your sign company, working under the landlord's rules, takes down the old building sign and installs the new one. Our crew moves the office furnishings and released sign stock, not building-mounted signs.
Current listing signs and field assignments
Your agents decide which pieces remain in use and take those pieces for upcoming appointments. We move the office inventory your operations manager releases.

Not part of our work

  • Selecting active listing materials or deciding which agent receives them; the brokerage makes those assignments.
  • Handling or transporting lockboxes, property keys, or the key cabinet; they remain with the managing broker.

Around San Antonio and the Hill Country

A San Antonio brokerage near Loop 1604 may have its office sign stock in a rear bay, while a downtown suite may rely on a freight elevator and a separate loading entrance. For moves toward Boerne or Kerrville, the same agent seating plan and sign-shelf map give the crew destinations even when the new floor plan changes.

Another question? Call (830) 329-7272.

Can our agents keep pulling open-house signs while the office is being packed?

Yes, if your operations manager marks a pickup area and separates the pieces needed for upcoming appointments before we box the remaining stock. We can pack the less active frames and riders first, then clear the pickup area at the point your team chooses. Your agents control the field schedule and take the signs they need before that area closes.

How do we keep riders and stakes with the right sign inventory at the new brokerage?

Give us a simple shelf map with categories your staff already uses, such as frame size, rider type, and open-house supplies. We box small parts by category and label bundles to the destination shelf section. Your operations manager checks the categories before loading and can set aside listing-specific pieces for the agents who still need them.

Will your crew move the lockbox cabinet along with the other office cabinets?

No. The managing broker keeps the lockboxes, property keys, and their cabinet in their own care and transports them separately. Point out the cabinet during the walkthrough so it stays off the crew's load list. We can plan the surrounding desk and supply-room moves around the broker's route without opening or handling access items.

What if agents change desks after the brokerage seating plan is labeled?

Have the managing broker or operations manager issue an updated plan before loading. We can change destination labels on the affected desks, drawer units, and desk-level equipment together. Send the same revision to whoever sets up agent logins, so sign-ins follow the agent rather than the old desk number.
