How should we label files when our office manages several properties?

Have each team assign a short property code, then add a source cabinet or shelf and the receiving location to each closed carton. Keep the detailed file list with your staff. We use the outside codes to group cartons during loading and place them beside the correct cabinet at the new office. Your team confirms the final filing order before opening them.

What happens to the key cabinet while our managers still need property access?

Your designated staff member decides when the cabinet can be emptied, removes the keys and fobs, and carries those access items separately. We can pad and move the empty freestanding cabinet to its approved position. If it is fixed to a wall, arrange for your installer to release and remount it. Your staff then returns the keys using its own list.

Can our maintenance desk keep taking calls during the office move?

Tell us which desk, phone, and current work-order materials must stay in service and when your team can release them. We can move other departments and portfolio files first, leaving that station for the agreed handoff. Your operations lead directs callers and work orders during the transition, and your IT contact checks the phone and software service at the new station.

What if two property teams will share a file room at the new address?

Give each team a destination zone on the receiving plan, including the cabinet or shelf codes it will use. We label cartons to those zones and place them in separate groups rather than deciding where records belong ourselves. If your firm changes the assignments, have the operations lead approve the revised map before loading so cabinet labels and carton labels still agree.
