How We Plan Tenant Buildout Move-In & Move-Out

A tenant buildout creates two readiness questions. At the new suite, your general contractor (GC) may still be closing punch-list items as the occupancy date approaches. At the old suite, your lease may require furniture removal before a contractor restores walls, floors, or a prior layout. The date alone does not tell a moving crew which rooms can accept a load or which fixtures must stay.

We ask your facilities lead for the GC's room release plan and a move-out list drawn from the lease. The first separates finished rooms from active work areas. The second identifies movable items to take, items the landlord has agreed will remain, and attached work reserved for a contractor. Your contact approves exceptions before loading. We can sequence delivery around rooms released for furniture and clear the old suite in the order its restoration work requires. The GC confirms construction access; the tenant and landlord decide whether the lease handoff is complete.

What typically moves

Access and scheduling

Ask the GC which receiving rooms and corridors are released for furniture, which punch-list items affect the route, and who can authorize entry if a room's status changes. Occupancy approval and permission to carry furniture through an active buildout may be separate decisions. Your tenant contact confirms both with the landlord and GC. We plan loads around released rooms and update the sequence when their list changes.

The outgoing building has its own clock. Review lease removal and restoration terms with your property contact, then mark what must leave before patching, painting, or inspection. Reserve docks and elevators at both addresses; ask each manager about a Certificate of Insurance and permitted hours. Evening or weekend windows may be available on request. Give us a decision maker for any disputed piece so the crew can continue in other cleared rooms.

Protection and handling

At the new suite, we confirm the GC-approved entrance, protect finished floors and corners, and keep carts out of rooms still assigned to trades. Each piece carries a destination label tied to the current release plan. If a doorway or access route remains under work, we hold that room's delivery until your contact and the GC identify a usable path. Released contents go to the approved layout.

At the old suite, we use the tenant's removal list instead of stripping everything that appears movable. We pad and carry approved freestanding pieces, keep loose hardware with them, and flag attachments or unlisted items. Your contractor removes lease-required fixtures and restores the premises. The landlord or tenant representative conducts the final lease inspection.

Punch-list completion and room release
Your GC identifies safe receiving rooms and routes and confirms when construction work is complete. We deliver movable contents to the rooms released for the move.
Old-suite restoration and attached improvements
The tenant and landlord interpret the lease; their contractor removes approved attachments and repairs the premises. Our crew clears listed movable contents.
Connected equipment and building services
A licensed trade disconnects and reconnects building services or connected equipment. We handle only released, movable pieces included in the move plan.

Not part of our work

  • Declaring the new suite ready for occupancy or signing off on the GC's punch list; those decisions belong to the GC, landlord, and tenant.
  • Deciding which tenant improvements the lease requires you to remove, or certifying that the old suite meets restoration terms.
  • Removing attached millwork or disconnecting building utilities; the appropriate contractor or licensed trade performs that work.

Around San Antonio and the Hill Country

A downtown San Antonio or Pearl-area buildout may have a shared dock and freight elevator while contractors use the same corridor. Suites along Loop 410 or US-281 may have direct loading but rules around neighboring tenants. In Boerne and Kerrville, the GC's room release and the old lease's restoration list still control the move sequence.

Can we move into finished rooms while the GC still has punch-list work elsewhere?

We can plan delivery by released room if your GC and landlord permit the move and provide a clear carry route. Ask the GC to mark active work areas and show where carts may travel. Give us the current release plan and a contact who can answer access changes. We keep furnishings out of unreleased rooms.

What do you need from our GC before setting the tenant move-in window?

Ask for the expected occupancy release, the rooms available for furniture, and the route from loading point to those rooms. We also need to know whether trades will share the corridor and who approves a changed delivery sequence. Your GC controls construction access; we use that information to plan loads and placement.

How do we handle a lease that requires restoration after our furniture leaves?

Have your lease contact identify movable contents to remove and work assigned to the restoration contractor. We can clear approved pieces in the order that opens rooms for repair, then report anything absent from the list. The contractor performs the restoration, and your tenant or landlord representative checks the old suite against the lease.

What if the occupancy date changes after the old suite is packed?

Tell us which new rooms remain unavailable and when the old building ends your access. We can revise the load order around rooms already released. Your tenant contact arranges revised access or an interim destination for contents that cannot enter the buildout. An expected date alone does not authorize entry into an active work area.
